Privacy Policy
Keeply does not transmit the items, receipts, documents or recognised contents recorded in the app to the provider's servers. Those contents are processed locally on the device. Purchases are handled through the Apple App Store; Apple's privacy terms apply to them. Depending on the user's settings, app data may form part of an iCloud device backup.
This policy treats the areas concerned separately, because different controllers and different legal bases apply to them.
1. Controller
Rene Süß, Barbarossastr. 91, 09112 Chemnitz, Germany. Email: support@gcng.de, Phone: 0151 55386821.
No data protection officer has been appointed.
2. Scope and delimitation
This policy distinguishes four areas. They are set out separately because different controllers and legal bases apply to them:
- The contents recorded in Keeply: details of items, purchase data, warranty periods, documents added and the text recognised from them.
- The processing of those contents by the app. It takes place on the device; no transmission to the provider's servers occurs.
- The handling of purchases through the Apple App Store. Apple is the controller for this; Apple's privacy terms apply.
- This static website, which is operated independently of the app.
3. Contents recorded in Keeply, and how they are stored
Keeply works on the device. Everything recorded in the app is kept in a local database and in local files inside the app's own storage:
- Details of items: name, category, manufacturer, model, serial number, retailer, notes, purchase date and purchase price
- Warranty and statutory cover periods with their start and end dates
- Documents added: photos, scanned receipts and PDF files
- Text recognised from those documents, as far as an import requires it
- Settings, such as how far ahead reminders are delivered
Keeply does not transmit these contents to the provider's servers. The app contains no code for transmitting them to a server of the provider's or to third parties. The app's only network access is through Apple's StoreKit, for purchasing and restoring Keeply Pro.
4. Camera, photos and files
To scan a receipt, Keeply requests access to the camera. The image is stored locally and not transmitted. For images from the photo library, Keeply uses Apple's system picker, which runs outside the app; the app therefore receives only the file selected and does not request access to the entire photo library. The same applies to files selected through the Files app.
5. Text recognition
The text on receipts is recognised on the device using Apple's Vision framework. No transmission to a recognition service takes place. Keeply contains no generative language model.
6. Reminders
Reminders about expiring warranties are local notifications, scheduled and delivered by the device itself. Permission for them is requested at the first end date saved. No push notifications are sent from a server.
7. Purchases through the Apple App Store
Keeply Pro is sold as an in-app purchase through the Apple App Store. Apple carries out the purchase, payment processing, invoicing and restoration on its own responsibility; Apple is the controller within the meaning of the GDPR in that respect. The app queries Apple solely as to whether a valid entitlement to Keeply Pro exists for the Apple Account in use; name, payment method and billing details are not transmitted to the app. Which data Apple processes in connection with the purchase is governed by Apple's privacy terms.
Where personal data is processed by the provider in connection with a purchase — for example when the provider is contacted about a purchase, or through billing records made available by Apple, in so far as these relate to an identifiable person — the legal basis is Art. 6(1)(b) GDPR (performance of a contract or pre-contractual measures), and otherwise Art. 6(1)(f) GDPR (legitimate interest in proper accounting). Retention obligations under commercial and tax law remain unaffected.
8. Export and sharing by the user
The recorded data can be exported as JSON or CSV and produced as a PDF dossier. These files are passed on through the device's share sheet at the user's instigation. Once shared, the data leaves the area to which this policy relates.
9. iCloud backup
Keeply does not exclude its data and documents from the device backup. If iCloud Backup is enabled in the system settings, app data including the stored documents may form part of that backup, as with other apps. This is deliberate, since Keeply synchronises no data to any cloud, which makes the device backup the only safeguard against total loss. Whether iCloud Backup is used is determined by the user in the iOS settings; Apple is responsible for the processing within iCloud.
10. No tracking, no advertising, no analytics
Keeply contains no analytics, crash reporting, advertising or tracking libraries and creates no user profile. No tracking permission prompt is shown, because no tracking takes place.
11. This website
This website is static. It sets no cookies, uses no analytics tools and loads no fonts, scripts or other resources from third-party servers.
When this website is accessed, technically necessary access data is processed. This may include in particular the IP address, the time of access, the page requested and technical information about the browser or device used. The IP address is stored in full; it is neither shortened nor anonymised. The processing serves the secure and reliable provision of the website and the detection and prevention of misuse and attacks. The legal basis is Art. 6(1)(f) GDPR.
Access logs are deleted regularly and are generally kept for no more than about 35 days. Technical error logs may be stored for a longer period for error analysis and to safeguard operations, but for at most around eleven weeks. Where security-relevant events are processed separately, the shorter retention periods technically laid down for them apply.
No processor is used to operate this website. No personal data is transferred to third countries.
12. Contact by email
If the provider is contacted by email, the information transmitted — in particular the email address and the content of the message — is processed in order to deal with the enquiry. In the course of the technical provision and delivery of email, hosting or email service providers used may act as processors.
The legal basis is Art. 6(1)(b) GDPR in so far as the communication serves the performance or initiation of a contractual relationship, and otherwise Art. 6(1)(f) GDPR (legitimate interest in dealing with general enquiries). Messages are deleted once the enquiry has been dealt with conclusively and neither statutory retention obligations nor other legitimate grounds stand in the way of deletion.
13. Rights of the data subject
The rights of access, rectification, erasure, restriction of processing, data portability and objection exist, as does the right to lodge a complaint with a supervisory authority. These rights may be asserted against the provider in respect of the data the provider actually processes — in particular the contents of an enquiry. The contents recorded in the app reside solely on the user's device; the provider has no access to them and can neither hand them over nor delete them. Deletion is carried out by removing entries in the app or by deleting the app; an export can be produced by the user at any time. For data Apple processes in connection with a purchase, the rights are to be asserted against Apple.
14. Changes
If the way the app works changes, this policy is updated. The version published here is the one that applies.
